The next part must contain the subject in brief and direct words, so the reader knows exactly for what reason they are receiving the letter.

• The Announcement: The first part of the body contains information that is to be delivered. The writer must be clear and upfront with the information they are stating at this point. Any additional information can also be stated in the first paragraph. The next part of the body should contain any subsidiary evidence or context to support the reason behind writing the letter. One must refer to the individual or group of people, if addressing a team with a specific request.

• Conclusion: The closing can consist of why the reader should know or look forward to the information provided to them. It can be closed off with a final note. The writer can also enter their contact number or email ID and request the reader to contact them via the number and email provided.
